We may receive requests to move a candidate forward to the Ready for Hire stage.  For Staff positions Primary Recruiters will only see Ready for Hire as a possible next step when all of the documentation requirements are met for candidates in the recruiting process. These requirements are a completed reference check, completed offer letter acknowledgement, and conditionally a successfully completed background check for candidates who are not already active Staff or Academic workers in Workday.   


If a user is expecting to see Ready for Hire and does not see that as a possible next step it usually means two possible things; either they are missing a piece of required documentation or there is a duplicate background check that is preventing Workday from considering the Background Check task complete.  In many of these cases users mistakenly restart the offer process because they don't know what else to click.  Eventually they will request assistance to move the candidate forward to Ready for Hire.  Before moving the candidate please ensure all documentation requirements are completed per the instructions below. 


Missing Documentation


To see Ready for Hire as an option the following must be properly documented on the candidate's job application. 

  1. Reference Check- We provide two steps that can be used to complete the reference check requirement for the related job application.  This can be completed via the Skill Survey Reference Check integration in the Assessment stage of the job application process or the Manual Reference Check stage where the primary recruiter completes a questionnaire with any completed reference check documents.  
    1. To see if this data is properly documented on the candidate record - Go to the candidate's application for the related job. Go to the Screening page and check the Assessments tab.  This tab will show all Spark Hire or Skill Survey integration events.  If you do see a Skill Survey event ensure it is for the correct job application and the status is Complete. If the Skill Survey is not complete (Review Requested for example) check the latest status message and see if they just need to click the results URL link to finalize the survey results.   If you do not see a completed Skill Survey for this job application check the Questionnaire Results page of the candidate record and look for the Reference Check tab. This is the questionnaire from the Manual Reference Check stage. If you do not see a completed Skill Survey or Manual Reference Check questionnaire, this is likely why they do not see ready for hire (Check the other components to be sure).  If one of the reference check documentation methods is complete, this is likely not the problem. Please review the other requirements. 
  2. Offer Letter Acknowledgement- The offer letter task must be completed in Workday for the related job application with the candidate successfully acknowledging the offer details.
    1. To see if the offer letter task is complete - Go to the candidate's application for the related job. Go to the Offer page and check the Attachments tab. A properly executed offer letter will have a column for "Signed By" with the candidate's name populated and a column for "Signature Date" with the date/time stamp of when the letter was acknowledged/electronically signed
    2. If the candidate did not sign the offer letter this could be why the user does not see Ready for Hire as a possible next step.  The only way to get back to the offer letter task is to redo the Offer process. 
  3. Successful Background Check - Background Checks are required for all external candidates for Staff positions and any internal candidates (like contingent, temporary or student workers) who are not already active Staff or Academic workers in Workday.  The Background Check status must be "Meets Company Standards" for users to see Ready for Hire as a possible next step. 
    1. To see if the candidate requires a background check, review the candidate record if the record does not have the word "(Internal)" after the candidate's name the candidate is external. If the "(Internal)" label does show up on the candidate record you have to review the worker record to see if the person's current worker type is Staff or Academic. If they are active Staff or Academic workers they do not require a background check for the Workday process. (Some schools or centers choose to background check existing academic workers converting to staff but it is not required via the Workday condition rules.) If the internal candidate is a Contingent Worker, Temporary or Student employee they will require a successful background check.
    2. To see if the background check is completed successfully - Go to the candidate's application for the related job. Go to the Screening page and check the Background Check History tab. The Overall Status column should say "Meets Company Standards".  If the status is anything else that could prevent the user from seeing Ready for Hire. Have them reach out to Talent Acquisition for assistance with background check status issues. 
  4. Duplicate Background Check Case - A separate issue that could cause problems with this requirement is duplicate requests. If the candidate was moved to the background check stage more than once this can create duplicate cases for this job application. In most instances the duplicate case is canceled prior to completion but the condition rules built for this step cannot reconcile the canceled case with the completed case so the system does not show Ready for Hire.  In this instance we do need to assist in confirming there is a successfully completed background check and then moving the candidate forward to Ready for Hire.
