• URGENT: Integration INT1208 - Video Screening from Spark Hire - SI -Inbound Needs Immediate Attention - These emails trigger to the Recruiting Admin role when the inbound feed from Spark Hire is not able to load to a candidate record.  This can happen for many reasons.  The most common reason is that the candidate was manually entered in Spark Hire and not sent through the integration via Workday, therefore there is no assessment event on the candidate record to tie this action to, hence the error.  Another common cause for this error is for candidates that have been declined before this attempted assessment status update.
    • To troubleshoot this issue. Click the link in the email notification that starts with "INT1208". This will open the View Background Process page for this event. Click the Output Files page and then click the link for the file.  Open the file using Notepad and look through the data to find the name of the candidate and the job requisition number/title.  TIps - Using the page search (Control + F) to search for the word "avatar" will help you find the candidate name and searching for "JR" will help find the job requisition information if it was entered properly.  Some status update files may not have the job requisition number. In these cases search the file for any descriptive information from the job description. Compare this to the jobs the candidate applied for to find the matching job application for this failed status update. Once you have gathered the job requisition information and candidate information you can look up the requisition and candidate in Workday to review if there is a known issue for this req or if the candidate has been declined.  If neither is the case, reach out to the Recruiter role and see if they can provide any information on why this was not triggered via Workday.
  • Integration INT1155 - Background Check to HireRight - SI - Bi-Directional Needs to be Reviewed - This email means there is a problem with the Integration and needs to be reviewed.  
    • To troubleshoot this issue click the link in the email to open the View Background Process page for this integration event. Check the messages tab.  You should see an error message. One example is "Error calling HireRight web service: User not found: CompanyLogin='UPA', UserRefId='45083433', PackageId='501579'". This error means that the person with the Penn ID listed in the User Ref ID field of the integration event parameters is not set up with an account on the Hire Right side.  This typically only happens when a new hire or someone new to the team moves a candidate to Background Check but is not yet set up with the proper account permissions on the vendor side. 
      • To resolve we can either relaunch the integration event and replace the Penn ID in the User Ref ID field of the integration event parameters with someone who already has an account with HIreRight, or wait for the account to be properly set-up on the Hire Right side and then relaunch the integration event with the same launch parameters.
