If the job application shows the SSN and DOB tasks pending with a candidate and the candidate says they cannot access these tasks please trouble shoot to determine why the candidate cannot access the tasks.  This is typically caused by two different reasons.   The first is that the candidate is looking for the tasks within Workday instead of the external career site where they should be looking. This candidate may or may not be a prior worker.  The second is the candidate is a prior worker who applied internally before termination and will not be able to access the tasks because the application was not submitted via the external career site and those tasks are only available to the candidate via the external career site. 


The first step should be to try to ensure the candidate is logging into the external career site. When a candidate reports this issue reply with the instructions below to ensure they are looking for the tasks in the right place.

  1. Go to https://wd1.myworkdaysite.com/en-US/recruiting/upenn/careers-at-penn
  2. Click the Sign In link in the upper right corner
  3. Log in with the email address and password used when you applied  
  4. Click the link for Candidate Home from the navigation bar
  5. Any pending tasks should be visible at the top of the Candidate Home page


FOR BULLET 3 ABOVE, YOU CAN PROVIDE THE EMAIL FROM THE CANDIDATE RECORD. IF THEY DO NOT REMEMBER THEIR PASSWORD, THEY CAN USE THE FORGOT PASSWORD LINK IF THEY HAVE ACCESS TO THE EMAIL ON THE ACCOUNT


In some cases this will be enough to resolve the issue. If they candidate is in the external career site candidate home page and still cannot access the TO DO tasks they likely applied internally prior to termination.   Check the Overview page of the candidate record to see where the application came from. You can also check the process history of the application as well.  You may want to compare the application date with the termination date on the worker record to see which came first. 


Typically if a candidate applies internally and is then terminated, Workday shows them as a prior worker.  This is the same prior worker label that is applied to external candidates who are merged with terminated worker records.  This only becomes a problem when the candidate is selected for hire from this internal application as Workday now sees the person as external but there is no external candidate account tied to the application so the candidate will not be able to complete those tasks.


If the candidate did apply prior to termination and truly cannot access the personal information tasks, the department should manually re-hire the candidate from the existing pre-hire record. Once the hire is complete, then loop workday ops in to redo Ready for Hire stage to close out recruiting process.  Once Workday sees the candidate as internal again the Ready for Hire stage will trigger the staffing action selection step instead of the new hire personal data tasks and when those steps are completed the staffing event task will trigger and needs to be canceled. 


This would not work if confidential JR because you cannot manually hire into the confidential req if the recruiting process is not complete because the confidential job requisition does not create a position until the recruiting process is completed.
