Candidate reports not receiving the Spark Hire or Skill Survey email from the vendors or recruiter reports issue with assessment. 


  1. First ensure the job req has the related Spark Hire or Skill Survey assessment test in the Default Assessment Field.  Many job profiles will default both the Spark Hire and Skill Survey assessments but some do not.  Recruiting should be looking for this when they approve the req, but some still get through missing one or both default assessments. You can confirm this is the cause of the issue by reviewing the Job Application Business Process Event History for the candidate on this job req.  The integration step for the related assessment vendor will show as "Not Required". 
    1. Have the primary recruiter and or hiring manager of the job req work with their central or school/center HR Talent Acquisition contact to identify the proper assessment test to be used. Once the assessment has been identified check the View Recruiting Assessment Test chart to see if the survey/question set already exists in Workday. If so the on-call HR Admin can use the Correct option on the job req event to change the Default Assessment field as needed.  If not, escalate the ticket to a Recruiting Admin to create the new recruiting assessment test before the job req can be corrected. 
    2. Once the assessment is added to the job requisition the integration can be relaunched. Please reassign tickets to HCM Recruiting admin as needed to relaunch the integration event.
  2. If the item above is not the issue it is likely an issue with the candidate's email. Is the candidate Internal? If so, check the worker record to ensure there is an email address listed.  If there is no email, that needs to be corrected and then the integration event can be relaunched.  If there is an email listed, escalate the ticket to Recruiting Admin as there may be an integration issue.


If a user moves a candidate forward before the results of an assessment integration vendor are completed. If there is already Skill Survey case associated with the candidate on the same job req we NEVER want to move them back to Skill Survey.  It usually causes an error that in most cases cannot be fixed. If they want to go back to the assessment stage, Undo move would work if that were an option but it may be an issue if the next stage has been advanced too far to use Undo Move.  It is OK to move a candidate forward out of Assessment stages like Spark Hire and Skill Survey before the results are completed if necessary to start another stage of the process.  Doing so does not have any impact on the integration or the Skill Survey/Spark Hire status.  The implications of this would be the Decline reasons from one of the stages after Skill Survey, would not include the Assessment Completed, Other Candidates Better Qualified reason that would be the recommended choice if the candidate needed to be declined because of a bad Spark Hire or Skill Survey reference.
